How to enable the integration in Recruiter

Heartpace Recruiter allows recruiters to communicate directly with candidates via email within the platform. To enable this functionality, users are required to authenticate their email account using their own credentials. This authentication process is initiated by the user within Heartpace Recruiter and can be disabled at any time.
The integration can be connected in the Settings-->Integrations-->My Integrations by clicking on the "Connect" button next the Gmail icon.


How your information is used:

  • Email Storage: Heartpace Recruiter only stores emails and replies that originate within the Heartpace Recruiter system. For example, if a recruiter sends an email to a candidate through the platform, that initial message and any subsequent replies between the recruiter and the candidate are retained within Heartpace.

  • No Access to Other Emails: Heartpace Recruiter never accesses or stores any other emails from the user's connected email account that did not originate within the platform.

  • Communication Purpose: The purpose of this integration is to enable seamless communication between recruiters and candidates regarding the recruitment process, such as arranging interviews and sharing relevant information.

  • Colleague Visibility: Recruiters may be able to view email communication between their colleagues and candidates. However, this is only possible if the colleagues have also authenticated their email account within Heartpace Recruiter, and only for communication threads that started within the platform.

  • Permission Control: Access to candidate email communication is governed by a permission matrix. Only individuals who are part of the hiring team for a specific role can typically view this communication. The lowest permission level, "Reviewer," generally does not have access to the main candidate tab and can only see candidates within the specific jobs they are assigned to, including the associated email communication.

Calendar Integration via Cronify (Meeting Scheduling)


Heartpace Recruiter integrates with your calendar (e.g., Google Calendar) through Cronify to facilitate the scheduling of candidate interviews. This integration requires the user to explicitly sync their calendar with Heartpace Recruiter using their login credentials. This connection can be disabled by the user at any time with a simple click.


How your information is used:

  • Free/Busy Access: Cronify provides Heartpace Recruiter with access to your calendar's free/busy information. This allows the system to identify available time slots when suggesting interview times to candidates, without revealing the specific details of your calendar events.

  • Candidate Slot Suggestions: Available time slots are only presented to candidates when an interview is being scheduled on a case-by-case basis, initiated by the recruiter. The system does not automatically share your entire calendar availability with candidates.

  • No Storage of Calendar Details: Heartpace Recruiter does not store the detailed content of your calendar events. It only utilizes the free/busy status to find suitable meeting times.
